Privacy Policy

Zivotta (“we”, “us”) provides an AI phone-receptionist service to businesses (“customers”). This policy explains what we collect, why, and the choices you have. It covers both our customers and the people who call them (“callers”).

Information we collect

  • Account data: your name, business name, email, and phone number when you sign up.
  • Business content: your public website content, which we read so the assistant can answer accurately.
  • Call data:for calls the assistant handles — audio recording, transcript, the caller's stated name and phone number, and the details of their request (e.g. the job, location, urgency).
  • Usage data: basic logs and analytics needed to run and secure the service.

How we use it

  • To answer calls, capture leads, notify you, and (if enabled) book appointments.
  • To provide, maintain, secure, and improve the service.
  • To send you service and, where permitted, marketing messages (always with opt-out).

Service providers (subprocessors)

We share data only with the vendors that power the service, under their own terms:

  • Retell AI — voice assistant / call handling.
  • Twilio — SMS notifications.
  • Google — calendar booking (only when you connect a calendar).
  • Stripe — payment processing.
  • Resend — transactional and marketing email.
  • Supabase — database hosting.
  • Vercel — application hosting.

We do not sell personal information.

Call recording & consent

Calls handled by the assistant may be recorded and transcribed. Our customers are responsible for meeting the call-recording and notification laws that apply to them and their callers in their jurisdiction. The assistant discloses that it's an automated receptionist and honours a caller's request to opt out.

Retention

We keep call and lead data for as long as your account is active or as needed to provide the service, then delete or anonymise it within a reasonable period, unless a longer period is required by law.

Your choices & rights

You can access, correct, or delete your data, and unsubscribe from marketing at any time via the link in our emails or by contacting us. Depending on where you live, you may have additional rights under laws such as the Australian Privacy Act or the GDPR.

Security

We use encryption in transit, access controls, and reputable infrastructure providers to protect data. No system is perfectly secure, but we work to protect your information.
